Centre for Institutional Investors Pty Ltd (“CII”, “we”, “us”, “our”) is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual.

Examples of Personal Information we collect include: names, addresses, email addresses, phone  numbers, job titles, employer details, professional background information and event participation data.

Event participation data may include:

  • Registration information

  • Survey and polling responses

  • Questions submitted during sessions

  • Feedback and evaluation responses

  • Audio and transcript data where sessions are recorded

This Personal Information is obtained in many ways including interviews, correspondence, by telephone, by email, via our website www.ciiconferences.com.au, via event registration platforms, event applications, polling or survey tools, from your website, from media and publications, from other publicly available sources and from third parties.

We don’t guarantee website links or policy of authorised third parties.

We collect your Personal Information for the primary purpose of:

  • Providing and administering our conferences, events and related services

  • Communicating with you about our services

  • Providing information to our clients

  • Marketing

  • Developing industry research, analysis and insights

  • Producing aggregated reports, publications and subscription-based intelligence products

We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.

Aggregated & De-Identified Information

CII may analyse information collected through events and related activities to produce aggregated industry insights, benchmarking reports, research publications and subscription-based intelligence products. Our subscription service provides access to aggregated, deidentified reports derived from polling and survey data collected at our events. This service does not involve the disclosure of any individual's personal information.

Data used in our subscription service is always deidentified and aggregated prior to inclusion. We take reasonable technical and organisational steps to ensure that individuals cannot be re-identified.

We may use aggregated and de-identified data for commercial purposes.

We implement reasonable technical and organisational measures to guard against the re-identification of de-identified data and do not attempt to re-identify individuals from aggregated datasets.

Recording of Events

CII Forums may be recorded, and recordings may include audio, video and transcripts of speakers and audience participation.

Where recording occurs:

  • Notice will be provided at the event or in event materials.

  • Recordings may be used for event playback, research, analysis and development of aggregated industry insights and publications.

  • Individual comments will not be attributed to any individual

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained

  • For a secondary purpose that is directly related to the primary purpose

  • With your consent; or

  • Where required or authorised by law.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties (for example, event sponsors, registration partners or publicly available sources).

In such cases we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

  • Third parties where you consent to the use or disclosure

  • Service providers who assist us in operating our business, including event platforms, CRM systems, data analytics providers, website hosting providers and professional advisers

  • Where required or authorised by law

The majority of Personal Information we hold is stored on servers located in Australia; however, a small portion may be stored on servers located in the United States, where we take reasonable steps to ensure such data is handled in accordance with Australian privacy law or comparable standards.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

We use a combination of administrative, technical and physical safeguards to protect Personal Information, including secure cloud-based systems and restricted access controls.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.

However, some information may be retained for legal, regulatory, research or business purposes, including inclusion in aggregated and de-identified datasets.

Most Personal Information is stored in client files which will be kept by us for a minimum of 7 years, unless a longer retention period is required or permitted by law.

Access to your Personal Information

You may access the Personal Information we hold about you and request correction, subject to certain exceptions.

If you wish to access your Personal Information, please contact us in writing.

Centre for Institutional Investors Pty Ltd will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is accurate, complete and up-to-date.

We will take reasonable steps to ensure this. If you find that the information we hold is inaccurate or out of date, please advise us as soon as practicable so we can update our records.

Data Breach Response

In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and the OAIC in accordance with the Notifiable Data Breaches scheme
